Marketing automation creates nothing. It runs a decision you already made, faster, on data you already hold. Four things have to be true before it returns anything: inbound volume, records a machine can read, a rule you have written down, and someone to handle what comes out.
The four conditions
Automation is a chain. An event comes in, a rule applies, an action goes out. A missing link breaks the whole chain, and no platform repairs it for you.
- Inbound volume. Forms submitted, quote requests, sign-ups. If your site produces three contacts a month, you do not have an automation problem. You have a conversion problem.
- Records a machine can read. The same contact should not exist under three spellings across two tools. Automation does not guess. It executes.
- A rule you have written down. "Follow up after 48 hours with no reply" is a rule. "It depends" is not. You can only automate what you already know how to decide.
- Someone to handle the output. A qualified lead arriving in a shared inbox is not handled. It is archived. All four are testable in a morning, before you spend anything.
The five-minute test
Answer honestly. Every "no" is work to do before the tool, not after it.
| Question | If yes | If no |
|---|---|---|
| Are enquiries getting lost because nobody has time to chase them? | Condition 1 met | Your problem sits upstream, in the site or the offer |
| Can you export every contact into one clean file? | Condition 2 met | Unify your records first |
| Can you write your follow-up rule in one sentence? | Condition 3 met | Write it, then come back |
| Is one named person accountable for the lead that comes out? | Condition 4 met | Name that person first |
Four yeses and you are ready to compare tools. Three or fewer and the tool changes nothing. It makes the mess move faster.
The sum nobody does before signing
Our rate card is public. On the AI automation page, a first project starts at €2,800 for four days of work, with a day rate of €700 for a simple flow between two tools.
Apply that to a company receiving three enquiries a month. Thirty-six enquiries over the year against €2,800 of setup works out at roughly €78 per enquiry in year one, before the platform subscription.
The same budget on a flow of forty enquiries a month comes to under €6 each.
This is not an argument against automation. It is condition 1, priced. The sum fits on the back of an envelope and it changes the decision.
What automation will never fix
Almost every page answering this question is written by a software vendor. They describe what the tool does very well. They rarely say what it will not do.
A site that does not convert still does not convert. Automating the handling of leads you never generate returns nothing, and it is the most expensive condition to discover afterwards.
Three tools that do not talk to each other still do not talk to each other. Automation crosses the silos. It does not remove them.
If your offer is vague, it stays vague. No segmentation rule will decide who you sell to on your behalf.
And you do not delegate the first real sales conversation. Software sorts, prioritises and chases. The exchange that unlocks a deal stays human.
This is why at Numinam the site, the automations and the internal tools are treated as three parts of one system rather than three stages in sequence. Automating a site that does not convert is a conveyor belt in front of a locked door.
Where to start when a condition is missing
Take the process that costs you the most time each week, not the most visible one. Very often it is retyping: information entered in one tool, then entered again in a second. That is the first thing our automation page talks about.
Keep this first piece of work small. The goal is not to automate the company. It is to prove the chain holds on one real case.
Coddy, our own urban escape game product, runs on that principle. The site captures demand, and the automations chain qualification, payment and playing instructions behind it. The site feeds the chain, never the other way round.
Once one flow is running you know two things no tool comparison will tell you: how much time it actually saves, and where it breaks.
